Golf Tournament for 2010

The Golf Tournament for 2010 will be held at the Hyatt Regency Resort on Monday, April 12, 2010, with an 8 am shotgun start. Please join us in the planning meetings for the tournament. The next meeting will be Monday, November 9, at 7 pm, at the meeting room in Oblate where Bishop Tom Flanagan resides.

Golf Tournament Meeting February 16, 2009

Attending: Bishop Tom, Rusty League, Jerry Janecka, Rudy Escamilla, Mike Nishimuta, Sam Szalwinski, Henry Gonzales.

Opened with a prayer by Bishop Tom.

We are booked at the Hyatt for the 8:30 tee off on May 11.
Rusty is negotiating to get the minimum headcount lowered from 140.
Rusty hopes we can get 120 golfers.
We are in the first of a two-year contract with Hyatt. It doesn’t look like we can break that two-year commitment.

He also has a contact name at NuStar and is attempting contact.

Jim Wade has contacted Rusty at North Park, and is also attempting to get a bank to sponsor.

Rusty has 100 copies of a letter signed by the Bishop which he will have at the Chapter Meeting. Mike took one copy to scan and post on the website.

Rudy reports Catholic Cemeteries will sponsor at the $2500 level.

Rudy was promoting the Religious dinner in Helotes, and made contact with someone who has a contact at the Spurs. He requested some signed items.

Rusty states he has a contact with a Beer Distributor – hopefully we can get it donated.

Rusty still needs to contact the Outback.

The Hyatt will provide breakfast, as we are required to purchase one meal from them. (In order to allow Outback to cater).

We need to decide what the Insurance agents can provide. We discussed possibly having them provide coffee, snacks, fruit, granola bars, mid-morning.

Discussed if we should have the lunch in the grassy area or back in the pavilion. Since there will be more golfers arriving during our lunch, perhaps pavilion would be better.

Sam just saved us $2,000. The cost of a house is still $51K, not $53K.

Silent auction coordinated by Jerry Janecka and Ray Neumann. Still looking at under 10 items.

2009 BISHOP FLANAGAN HABITAT FOR HUMANITY GOLF CLASSIC

COMMITTEE MEETING

February 2, 2009


Meeting opened with prayer by Deacon George Vick @ 7:00 p.m.
Welcome new committee member brother Joel Galazar.

Rusty League handed our Financial report showing ending balance of $1233.43 a/o 1/17/09. Treasurer Mike Nishimuta reported receiving two $1,000 checks from Sam’s Club…one check to replace an incorrect check for 2008. A second check is for 2009. Both checks were payable to Habitat and have been sent to them as credit to our $53,000 commitment.

Rusty has been approached by the Hyatt Hill Country resort with a request to consider moving our date OR time for our event. In conversation and email correspondence with the Sales Manager at Hyatt and we have choices…first, stay on May 11 and tee off at 8:00 a.m.; second change day and date to Friday May 15 or Friday May 22. The reason for the request comes from a conflict with another group who started as about 30 golfers and has grown to 130 golfers because of a business merger. Rusty made it clear that we do not have to change but have been approached to consider it. After individual input from each committee member it was agreed that the preference would be to keep the date and tee off earlier…at 8:00 a.m. Rusty will communicate that choice, BUT will also ask for some compensation consideration for being put in the position of change. Suggestions were made to ask for a cessation of the current contract (we have a year to go) and be allowed to negotiate for next year. Also, we should ask for a reduced player count commitment from 144 to 120. Those requests will be communicated to the Hyatt.

Rusty reported that he and John McNair have been in touch about projections for his contractors and suppliers…John felt that there could be anywhere from a 25% to 49% shrinkage because of the economy and the affect it has had on the home building industry. He has asked for the Bishop’s annual invitation letter. Rusty will have the letter ready Tuesday and Henry will take them to Bishop Tom for his signature. We must all be aware that sponsorships will be harder to get in 2009 and that the committee cannot expect for the previous sponsors to all keep supporting in hard economic times…NEW sponsors must be sought out. Rusty asked for a commitment form each committee member to call a NEW potential sponsor and report back on February 16th, our next meeting date.

A brief discussion about a co-chair to assist Rusty was brought up and the committee agreed that he could use some help…names will be considered. Rusty reminded all present that we are not officially a 501 3 (c) charitable organization…so if a donor or sponsor wants to give funds that would be tax deductible then they should write their checks to Habitat for Humanity and we will present them to Habitat for credit to our committed dollar target.

Roy Ball briefly covered Religious Appreciation progress and the meeting was adjourned in prayer at 8:30 p.m. Next meeting will be February 16, 2009…in the Oblate Renewal Center Library starting at 7:00 p.m.

Opening Prayer

Rusty recapped the Spring tournament and auction party. We came up short, but due to an anonymous donor we made our $51,000 committment. We had a small meeting in August and discussed the lessons learned. We made a decision to dispense with the Gala, and the Golf Tournament is scheduled for May.

We are now looking for names of businesses that can provide a sponsorship or a team. Rusty would like each of you to give me the names of three businesses we can contact in your name, and he will send out a letter.

Rusty is working to contact NuStar Energy, a branch of Valero. They sponsored for the Acts Retreat tournament and he thinks they would support this tournament.

The cost of the house in 2009 is an unknown. It could possibly be $53,000. Habitat already subsidizes the cost of the house, so with increasing prices, they may choose to increase their subsidy rather than increase the cost to the sponsors.

Rusty will take care of the golfer gift.

The committee needs a volunteer secretary to atttend the meeting and takes notes.

Mike Nishimuta will continue as the Treasurer.

Nello volunteered to head up the volunteer committee. They will arrive early, stay late, fill goody bags, set up registration, conduct registration, sell mulligans, spot the hole-in one holes, longest drive, etc.

We have already purchased some St Andrews Golf Course logo hats. Rusty is using them as promotional items to use when soliciting sponsors.

An audit of the bank account was conducted by Henry Gonazales, Roy Ball, and Mike Boucher. We currently have $697.20 in the bank. Mike will suggest a budget to the committee.

We need giveaway items for the awards dinner. Looking for about 15 gifts such as dinner coupons, etc.

We'd like to conduct a silent auction at the golf tournament itself. About 15 items in the $100 to $500 range.
Ray Neumann and Jerry Janecka agreed to chair. We want to set up the silent auction so it is seen as the golfers come in to register and have lunch.

Sam will take responsibility to ask the Councils to participate, through the work of the District Deputies.

Mike will give Sam a list of the Councils that supported the Golf tournament and auction last year.

Bishop Cantu would like to play in the tournament. Rusty needs to get it on his calendar.

Advertising. This is the 10th anniversary of the tournament. Need to work with KTSA for weekly spots in March. Henry will ask if KLUV is accepting advertising.

Rusty, ask Dean if he will coordinate the Golfer pairings as he did last time.

The next meeting will be the first Monday in December, the 7th at Oblate.

Report on construction of the house.
Good support from the Districts and Councils. Our house is on schedule, and will be the first of this group of 17 to be finished. Landscaping day is ??

Need 10 people for this Friday and Saturday (17-18 Oct).
Dedication is Nov 8.
The Chapter will purchase a $100 gift card from HEB and the Golf Tournament will provide a $100 gift card from Target.

Golf Tournament Planning Meeting Oct 13

Brother Knights...Next Monday Oct 13, at the Oblate Conference & Retreat Center, 7 P.M. (off Blanco Rd. just north of Oblate Dr., right hand side if you are headed north). We will review our 2008 efforts, report on things needed, and plan and assign committee's where needed.

Please bring a list of 3 companies that you personally know, who you believe would contribute something to our efforts...a team of 4, a sign sponsorship, a raffle item. Just 3 companies...We will send these folks a letter under YOUR signature as a committee chairperson and ask for their help.

Please approach new members to your council, new brother Knights who might be interested in this event. New faces = new ideas and new sources.

The meeting room we will use will be posted at the reception desk as you enter the Conference & Retreat Center.

Next Tournament date set

Well Brother Knights and Sir Knights, we are looking at the 10th Annual Golf Tournament for Bishop Tom's cherished project, Habitat for Humanity.

Things you should know...the Date for our 2009 Tournament is May 11th...(After Easter) mark your calendar now! Alas, because of the cost and poor return of our last Gala, the decision has been made to eliminate the function for 2009. Who knows, maybe 2010 will bring it back.

As usual, the plea begins for donations...if the 87 active Councils in our Archdiocese each gave $600, we could skip the golf and go straight to the build! But in the real world, with all the demands on all our councils that is a dream at best. So let's put on a golf tournament!

Habitat, for 2008 needed $51,000 for this Fall build...we have not been told what the cost could be for 2009...costs are continually rising as we are all aware so we should have some expectation of an increase and be prepared for it.

So here are the requests from the Golf Committee...we need 12 raffle prizes...not cheap stuff, interesting items, like a round of golf for four (which kinda holds with a golfing theme right?) or maybe 6 months worth of car wash coupons from the Wash Tub...or...tickets to Seaworld...or Fiesta Texas...or a redemption coupon for a furniture store or $100 HEB card...If you council can sponsor something like that, or has their own idea for an item, that would be as much help as a cash donation, (which we would willingly accept!)

Of course we hope you will sponsor a team...$1250 allocated in you budget fields a team...several Councils who participate actually have a lottery drawing for the 4 team members. If you include a Priest, Deacon or Seminarian on your team, the cost is $1000. That team gets a get out of confession free card for each of the lay members! (gosh I hope that was funny to someone!) We accept hole sign sponsors as well, so please consider supporting your Chapter Chaplains favorite Charity won't you...

Lastly, we are looking for a major corporation to help with a large sponsor donation. If you work for or know of a large corporation who has a community affairs department, would you ask them if they would support Habitat for Humanity through the Knights of Columbus. With the economic downturn we are experiencing in 2008 and probably through part of 2009 (a small part I hope), we anticipate fewer large corporate donors so we must be pro actively seeking replacements.

I wish to express the committee's sincerest gratitude to ALL the Knights of our Archdiocese who have worked hard each year to make this endeavor a success. Without the volunteers we are lost, so please know that we appreciate you and welcome you every year.
